Introduction

Setting up your "Moonbase" isn’t just about activating a piece of software; it’s about building the digital infrastructure for your institution's future discoveries. To get your team of researchers and administrators into the cockpit, you first need to bring them on board.

As an Institutional Admin, you hold the keys to the lab. Here is your definitive, step-by-step guide to populating your organization and assigning the right roles to the right people.

Step 1: Access the Command Center

First, ensure you are logged in with your Institutional Admin credentials. Once on your main dashboard, navigate to the Admin Panel located in the primary navigation menu. This is where you manage your organization's users, permissions, and high-level settings.

Step 2: Initiate the Mission

Look to the top right corner of the Admin Panel. You will see a prominent button labeled "Invite Members." Clicking this will open your deployment portal—a dialog box designed to help you scale your team quickly and securely.

Step 3: Choose Your Deployment Method

Moonbase offers two distinct ways to bring members into the fold. Choose the one that best fits your institution’s workflow:

Option A: Invite via Email List Best for: Adding specific departments or a curated list of lead researchers.

Enter Credentials: In the provided field, type or paste the email addresses of your team members. You can separate them easily using commas or spaces.

Assign the Rank: Use the dropdown menu to select the appropriate role.

Research Admin: For those managing the broader funding strategy and grant oversight.

Tech Transfer: For specialists focused on commercialization and intellectual property.

Confirm: Review the list and click the "Invite" button to send personalized onboarding links directly to their inboxes.

Option B: Invite via Secure Link Best for: Onboarding large groups or sharing via internal institutional newsletters.

Define the Role: First, select the specific role (Research Admin or Tech Transfer) that users joining through this link will inherit.

Generate: Click the "Generate" button to create a unique, secure invitation URL.

Distribute: Copy the link and share it through your institution's private communication channels.

Note: For security, anyone using this link will be automatically vetted and added to your organization only after they complete the secure Moonbase registration process.

Why Roles Matter

Assigning the correct role during onboarding ensures that your team sees exactly what they need to see—no more, no less. This keeps your dashboard clean and your data secure while allowing the Proposal Scoring AI to route relevant feedback to the right experts.
